Privacy Policy

The Agency for Health Systems Strengthening (“A4HSS”, “we”, “us”) is a non-governmental organisation based in Tamale, Northern Region, Ghana. This policy explains what personal information we collect through agency4hss.org, why we collect it, how we use and protect it, and the choices you have. We handle personal data in line with Ghana’s Data Protection Act, 2012 (Act 843).

1. Who is responsible for your data

A4HSS decides how and why your personal data is used, so we are the data controller.

2. What we collect and why

Contact form

When you write to us we collect your name, email address, phone number (optional), the subject and your message. We use it only to read and reply to your enquiry.

Volunteer application

We collect your name, email, phone number, current location, profession or background, area of interest, availability, how long you can volunteer, and your reasons for volunteering. We use it to assess your application and contact you about volunteering opportunities.

Expression of interest

We collect your name or organisation name, email, phone number (optional), organisation type, area of interest and your message. We use it to respond to partnership, funding, research and collaboration enquiries.

Donations

Online donations are processed by Paystack. On our site you give us your name, email address, phone number (optional) and the donation amount. Your card or mobile money details are entered in Paystack’s secure payment window. They go to Paystack and our website never sees or stores them. Paystack handles that information under its own privacy policy. We use donation details to process and acknowledge your gift and to keep the financial records the law requires. If you donate by bank transfer or mobile money outside the website, we receive the details that appear on the transaction, plus any proof of payment you email us.

Technical information

Like most websites, our site and its security tools automatically record technical data such as your IP address, browser type, device, pages visited and the time of your visit. We use Google tools (Site Kit by Google) to understand how visitors use the site, so we can improve it. Security tools on the site log login attempts and block suspicious activity.

3. Legal basis for using your data

We process personal data only where we have a proper reason to do so: you have given your consent (for example by submitting a form), it is needed to respond to your request or complete a donation, we must keep records to meet legal obligations, or it is in our legitimate interest to keep the website secure and working well.

4. Who we share your data with

We do not sell your personal data. We share it only as needed with:

Some of these providers are located outside Ghana, so your information may be processed in other countries. Where that happens, we expect the provider to protect it to a standard comparable to this policy.

5. How long we keep it

We keep personal data only for as long as it is needed for the purposes in this policy. Messages and applications are kept while we are dealing with your request and for a reasonable period afterwards. Donation and accounting records are kept for as long as the law requires. When data is no longer needed we delete it or make it anonymous.

6. How we protect it

Our website uses a secure (HTTPS) connection, access to the site’s administration is restricted and protected by security software, and form submissions are stored in the website’s protected admin area. No online system is completely secure, but we take reasonable steps to protect your information from loss, misuse and unauthorised access.

7. Cookies

Our site uses cookies and similar technologies that are necessary for it to work, and cookies set by Google tools that help us measure visits. You can block or delete cookies in your browser settings. Some parts of the site may not work properly if you block all cookies.

8. Your rights

Under Ghana’s Data Protection Act you have the right to:

To use any of these rights, email admin@agency4hss.org. We may need to confirm your identity before we act on a request. If you are not satisfied with how we handle your data, you may complain to Ghana’s Data Protection Commission.

9. Children

Our website is not aimed at children. If you are under 18, please ask a parent or guardian to help you before you send us any personal information. If we learn that we hold a child’s data without proper consent, we will delete it.

10. Links to other websites

Our site may link to other websites, such as our social media pages. We are not responsible for their privacy practices, so please read their policies.

11. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed. Please check back occasionally.
